Job Description

The Assistant Property Manager is responsible for assisting the Market Officer/Asset Manager with the daily management oversight of a portfolio of commercial properties, including the overall operations as well as personnel management, repairs and maintenance, tenant relations, strategic planning, fiscal planning and risk management. The Assistant Property Manager provides outstanding customer service to the property owners to ensure strong client relations. 

Essential Duties



  • Direct and participate in the daily operations of properties.

  • Actively monitor the collection and deposit of all rental income, including the collection of delinquent accounts and evictions.

  • Review all AP invoices and code same consistent with the Budgets.

  • Provide outstanding customer service to property owners, ensuring strong client relations.


Responsibilities



  • Assist in maintaining high occupancy level; manage customer relations, retention.

  • Prepare and implement annual operation budgets, strategic plans – short and long range.

  • Respond timely to all tenant requests.

  • Manage property, including oversight of maintenance and repair of buildings and grounds.

  • Control operating costs, capital expenditures and general and administrative costs.

  • Competitively bid all contracts.

  • Accept rental payments and post in a timely manner, post late fees, record collected payments, and prepare bank deposit slips.

  • Invoice tenants for services rendered.

  • Approve accounts payable.

  • Ensure all proper/legal documents from vendors are received, current, accurately verified and filed.

  • Assist with risk management; help compile monthly property walkthrough inspections.

  • Assist in lease transactions by creating leases, gathering applicant history and credit approval.

  • Communicate with Market Officer/Asset Manager weekly to discuss financial, operations and accounting updates as related to property performance.

  • Other duties as assigned.

  • Ability to travel to Cleveland and Columbus as needed, but not less than once per month.

Qualifications Job Qualifications/Experience
• 1-3 years of experience as an Administrative Assistant in the Commercial Real Estate field and/or Assistant Property Manager, providing oversight to multiple properties.
• Proficient in Excel and Word for reporting and budgeting.
• Excellent communication and interpersonal skills.
• Strong organizational, analytical and decision-making skills.
• Ability to work any day of the week, including holidays and travel as needed.
• Experience using Yardi property management software preferred.
Education

Bachelor s Degree or Associates Degree (BS/BA) in Business or related field preferred, or equivalent combination of education and experience.
Language Skills

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions.
